Exchange and buyback software for trade-ins at the counter

Kshitij ERP takes a customer's old phone or appliance against the new one, on the same bill. Its value comes from a buyback matrix you set by model, condition and age, and the old unit comes into stock as a unit of its own, at the value the customer was given.

A buyback matrix you set

Price each model by grade and by age band, with the date each price applies from. The grades start as like new, good, heavy wear and not working, and can be renamed. A trade-in is then a number the business set, not one made up at the counter on the day.

Graded at the counter, explained when it differs

When a model has a matrix, the counter grades the unit and enters its age before the bill can be made, and the price is read as of the bill's date. A bill that allows a different value from the matrix needs a reason, and the difference is written to the audit trail with the bill.

The old unit comes into stock

The traded-in unit enters stock at the store that billed it — under its IMEI or serial when the counter takes one, and in the condition it was taken in — at the value the customer was credited, and the books record the same value. A phone you sold in the first place comes back onto its own record. A bill can take more than one old unit, each graded and valued on its own.

On orders and quotations too

A customer order or a quotation can carry the trade-in and its value, so the price agreed already allows for the old unit.

Exchange and buyback software: questions retailers ask

Short answers. For the long ones, ask us to show you on a demo.

  • What is exchange and buyback software?

Software that values a customer's old device by rules the business sets, takes it against the new purchase on the same bill, and brings the old unit into stock. Kshitij ERP does this from a buyback matrix, at the counter.

  • How is the value of an old phone worked out?

From your buyback matrix: the model, the grade the counter gives it and its age, at the price in force on the bill's date.

  • Can the counter give more than the matrix says?

Yes, with a reason. The bill keeps both the matrix value and the value given, and the difference is recorded in the audit trail for the owner to review.

  • Can a customer exchange more than one old unit on one bill?

Yes. Each old unit is graded and valued on its own — two old air conditioners against one new fridge, for example.

  • Where does the exchanged phone go?

Into stock at the store that took it, in the condition it was taken in and with its IMEI or serial when the counter takes one, at the value the customer was given. From there it is found and moved like any other unit.

  • Does a trade-in show in the accounts?

Yes. The bill records what the trade-in settled separately from the money received, and the stock value rises by the value the customer was given.
